How to set up sales reps, tax codes, currencies and exchange rates

The catalogs every module shares, under Administration › Catalogs, and the day's exchange rate for selling and buying in another currency.

On this page

What several modules use lives under Administration › Catalogs, in three groups: General, Finance and Geography. The catalogs of a single module (item groups, payment terms, route types…) are in that module's Setup group.

They all work the same way: open the catalog, click New, fill in the fields and Save. A record already in use isn't deleted: clear Active and it stops being offered.

Sales reps

In Administration › Catalogs › Sales reps add each rep with their Code, Name and Commission. Then assign them to the customer in its record and to each user who sells, so their documents carry their name.

Why: it is SAP Business One's "Sales Employee". It doesn't need to be a Nori user.

Tax codes

In Administration › Catalogs › Tax codes each code says what a line charges. A code is built from Components: each one with its SAT tax (VAT, ISR or IEPS), its Kind (transferred or withheld), its Factor type and its Rate. The rate is a fraction: 0.160000 is 16%.

  1. Click New and enter the Code and Name, for example "VAT16W" and "VAT 16% with 10% ISR withholding".
  2. Check Applies to sales, Applies to purchases or both.
  3. Add one component per tax. For the example: VAT transferred at 0.160000 and ISR withheld at 0.100000.
  4. Click Save.

The item, the partner or its address decide which code each line uses. If an item has a Fixed tax code, that one wins.

Currencies

In Administration › Catalogs › Currencies add each currency with its ISO 4217 Code (MXN, USD, EUR), its Symbol and its Decimals. Only one can be the Local currency: the one your books are kept in.

Exchange rates

To sell or buy in another currency, Nori needs the exchange rate.

  1. Go to Administration › Catalogs › Exchange rates and click New.
  2. Choose the Currency and the Date and enter the Sell rate (and, if you like, the Buy rate).
  3. Click Save.

Documents in another currency take that currency's most recent Sell rate. Enter it every morning, before invoicing.

If someone changes the exchange rate on a sales document, Nori can ask for a supervisor's approval depending on the difference in percent. It is set up in the exchange rate's authorization concept: see Authorizations and supervisor PIN.

Why: with an ERP connected, exchange rates come down from the ERP as in SAP (its exchange rates table); don't enter them twice.

Payment methods

Administration › Catalogs › Payment methods holds the methods for paying suppliers and collecting, with their Type and, for Mexican companies, their SAT payment form. The point of sale's tender types are a different catalog: Point of sale › Setup › Tender types.

Classifications

Departments, Zones, Channels, Projects, Owners and Cycles classify partners, documents and reports. Each has a Code and a Name. Use them if your reports need them; otherwise leave them empty.

Countries and States come preloaded. Add one only if it's missing.

If you don't see…

  • The Catalogs menu: you need permission to view each catalog. Ask your administrator for a role with access (Users, roles and permissions).
  • A field you can't edit: with an ERP connected, what comes from the ERP is changed there.
  • The message that there is no exchange rate for one of the currencies: the rate of the document's or the price list's currency is missing. Enter it in Exchange rates and try again.
  • The SAT payment form: it only shows for companies with the Mexican localization (How to choose your company's localization).
