Authorizations and supervisor PIN

Choose which operations need approval, who approves them and how. Approve from the tray, at the register with a PIN, or from your phone.

Updated on October 24, 2026

Some operations your team can do only after someone else signs off: a big discount, a credit sale over the customer's limit, a price change, a cash withdrawal. In Nori each of these is an authorization concept, and you configure each one.

Set up the concepts

Go to Administration › Authorizations › Concepts (you need the settings permission). Some of the concepts:

Concept When it's requested
Credit exceeded The customer goes over their credit limit
Overdue documents Selling to a customer with overdue documents
Margin below minimum A line falls below the minimum margin
Document discount and line discount Above the role's limit
Price change The typed price differs from the list price
Price list change Using a list the customer isn't assigned to
Change quantity and delete line In the POS and in goods delivery
Reprint Reprinting a ticket that was already printed
Register opening, deposit, cash withdrawal, fund withdrawal and register close Register movements
POS return Returning a sale in the POS
Cancel a document, payment or CFDI Canceling without the permission
Selling without stock When the company doesn't allow it

For each concept you decide:

  1. Whether it's on.
  2. The limit: a percentage, an amount or a number of times. You can set a different limit per role. If someone has several roles, the highest limit applies.
  3. Who approves: roles or specific users. If you don't pick anyone, anyone with the approve permission can approve. The Administrator always can.
  4. How: remotely, on site, or both.
  5. How many minutes a request waits before it expires if nobody decides.
  6. Whether users who can approve the concept skip the request and go straight through.

What the requester sees

When an operation needs approval, an Authorization needed notice appears with the reason, for example "15% discount (max 10%)". You have two options:

  • Ask a supervisor: add an optional comment and wait. When the request is approved, the screen updates and the operation continues. If it's rejected, you see who rejected it and why. If it expires, press Ask again.
  • Approve here: the supervisor comes to the register and enters their username and their password or PIN.

Nobody can approve their own request.

The supervisor PIN

The PIN is a 4- to 8-digit number. It lets a supervisor approve on site without typing their full password in front of the customer. The administrator sets it in Administration › Users, on the supervisor's record, in the Approval PIN field. Nori stores it encrypted and limits attempts per minute so nobody can guess it.

What the approver sees

Users who can approve requests see a bell in the top bar. When a request comes in, a sound plays. If you allow it with Turn on alerts, a browser notification appears too.

In Administration › Authorizations › Authorization tray each request comes with its context: document, customer, values before and after, cost, margin and amounts. Press Approve or Reject. To reject, you must enter a reason.

In the mobile app, the supervisor sees the same tray on the Dashboard tab and decides right there.

Credit when saving

When you save a sales order, delivery or invoice with credit payment terms (terms with days to pay), Nori checks the customer. It asks for Credit exceeded when:

  • the total doesn't fit in the customer's available credit (limit minus what they owe), or
  • the customer has overdue unpaid invoices.

The reason says which one happened. The balance is the usual one: invoices and debit memos, less credit memos and payments. As in SAP, you can add what open sales orders and deliveries still hold, with or without an ERP. Settings › Sales has two separate check boxes, both off at first: Include the balance of open deliveries in the credit limit and Include the balance of open sales orders in the credit limit.

The counter customer (general public) and cash terms are never checked. The approval stays with the document: saving it again or copying it to the next one (order to delivery, delivery to invoice) doesn't ask again unless the total grows.

Rules that can't be approved

Some sales rules have no approval. They just stop the save.

  • Payment terms that require payment. An invoice with those terms can only be saved with Save and collect, collecting all of it. No balance can stay on credit. As in Nori desktop, deliveries aren't forced to collect: neither the ones from the Goods delivery station nor the ones you type in the document. Payment is required when they're invoiced. So when you invoice deliveries in batch, a group of unpaid deliveries with those terms isn't invoiced: Nori tells you which ones, so you can copy them to an invoice and save it with Save and collect. Sales orders and quotations aren't affected.
  • Minimum price list. In Administration › Users, the Minimum price list field on the user sets a floor. That user can't sell any line below that list's price, in documents, in the POS or in the app. The discount they type on the line counts; automatic promotions don't. Leave it empty for no minimum. Role-based discount approval works as before.
  • Maximum discount (%). On the same user, next to the minimum price list. That user can't give more discount on a line, counting the line discount they type and the document discount together (10% and 10% make 19%). Nobody can approve past it: it's checked before the role's discount approval. Automatic promotions and the customer's own discount don't count. Leave it empty for no cap. Migrating from Nori desktop fills it with the per-user special discounts.

Minimum profit margin

In Settings › Sales, Minimum profit margin (%) stops sales with too little profit. It starts empty (off).

Each line's margin is the net price (after the line discount and the document discount) minus the item's cost in that warehouse, divided by the net price. For example, selling for $100 something that costs $90 leaves a 10% margin. Lines without a cost aren't checked.

In Below the minimum margin you choose what happens:

  • Block: it isn't saved. The message shows the line, its margin and the minimum.
  • Request authorization: a supervisor approves it through the Margin below minimum concept. If that concept is turned off, it blocks.

It applies in documents, in the POS and in the app.

Tips

  • Turn on a few concepts first and add more over time. A cashier who needs approval for everything stops selling.
  • Set limits per role instead of turning the concept off: for example, up to 5% discount for a sales rep and up to 15% for a supervisor.
  • Review the tray now and then. Past requests show who approved what and how.
