How to record a customer payment

Record what a customer pays you, apply it to one or several invoices, keep a balance on account and stamp the payment complement of PPD invoices.

On this page

A customer payment is an incoming payment: the money that comes in from a customer and the invoices it settles. You record it in Payments and banking › Incoming payments, or straight from the invoice.

Before you start

  • Payments in cash, card, check or transfer need your register open. If it is closed, the Payment methods tab lets you open it right there with its Opening float.
  • For the payment to be stamped, the payments series must be marked as electronic (see Stamp and download CFDI 4.0 invoices).

Collect one or several invoices

  1. Go to Payments and banking › Incoming payments and click New incoming payment.
  2. Choose the customer. The Contents tab lists their open documents with due date, total and balance.
  3. Check the invoices being paid (or Select all). In Amount to pay you can lower an invoice's amount for a partial payment.
  4. Go to Payment methods. Choose the tender, type the reference if it asks for one (authorization, transfer number) and the amount. Fill in the balance fills what is missing. If they pay with two tenders, click Add payment method.
  5. If they pay by check, enter its bank, number and date: you will need them when you deposit it.
  6. Check Total due, Applied amount and Pending balance at the bottom, and click Save.

If the customer hands you more cash, Nori works out the Change.

From the invoice or the delivery

On an open invoice or delivery with a balance, click Collect. On a new invoice, Save and collect posts it and collects it in one step. If the customer's payment terms require payment on the spot, that is the only way Nori lets you save it.

Credit memos in the payment

If the customer has a credit memo with a balance, you can use it as a payment method: choose the credit memo tender and then the memo. If the memos cover everything, the payment is Reconciliation only and you don't need an open register.

Payment on account

When the customer pays without saying which invoice, or pays too much:

  1. Check Payment on account on the Contents tab.
  2. Enter the amount in Payment methods and save.

The payment gets the On account badge and its Unapplied balance. To apply it later, open the payment and under Apply the balance on account check the invoices and click Apply balance. You can also match it in Internal reconciliation.

When you choose a customer with payments on account, Nori tells you how much credit they have.

Why: SAP Business One also marks this with "Payment on Account"; the difference is that in Nori you apply it from the same payment, without opening another screen.

Payment complement

If the payment settles PPD invoices that are already stamped, Nori stamps the electronic payment receipt (payments complement 2.0) when you save, with the installment number, the previous balance and the remaining balance. You see it on the payment's Electronic document tab. PUE invoices don't carry a complement.

Print, send and cancel

  • From the payment you print its layout (Ctrl+P), email it with Send or, with Recaudo connected, send it by WhatsApp.
  • Cancel payment gives the balance back to the invoices. If it is stamped, the CFDI is cancelled at the SAT as well.
  • A payment whose check or voucher is already in a deposit can't be cancelled: cancel the deposit first or mark the check as bounced (see Deposits).
  • The Incoming payments list filters by status, payment method, cashier and partner, and downloads with Export to Excel.

In the books

With accounting on, the payment debits cash, bank, checks to deposit or cards to settle depending on the tender, and credits customers. The VAT on what was collected moves from uncollected to collected.

If you don't see…

  • The Save button is greyed out: open the register, check at least one invoice (or Payment on account), or the amount doesn't cover what you checked.
  • The invoice: it is already paid, cancelled or belongs to another customer. One-time customers pay cash only.
  • The payment complement: the invoice is PUE, it is not stamped, or the payments series isn't electronic.
  • A tender you need: your user or your register isn't allowed to use it.
