Each payroll you calculate is a run: a period, its employees and one receipt per person. This module is for companies with the Mexico localization. Before the first one, set up the employer registration, the employees and the parameters; Human resources and payroll explains how.
1. Generate the periods
- Go to People › Payroll › Periods.
- Choose the Frequency (weekly, biweekly, semimonthly or monthly) and the Year. For weekly and biweekly, enter the First day of the year, the day the first week or fortnight starts.
- Click Generate periods. Each period has its dates, its payment date and its days.
You do this once a year per frequency.
2. Start and calculate the payroll
- On the period that's due, click Start payroll. The payroll is created as Draft.
- Click Calculate. Nori builds a receipt for each employee with that frequency, with their salary, the period's incidents (absences, sick leave, vacations, overtime, leaves), ISR with its subsidy, IMSS contributions and their INFONAVIT and FONACOT credits, alimony and recurring deductions. The payroll moves to In review.
Start payroll includes the employees of all your employer registrations. For one payroll per registration, create it in People › Payroll › Runs with New payroll, type Ordinary, and choose the Employer registration.
3. Review the receipts
Open any receipt to see its paid days, absences and sick leave, daily salary, SDI and SBC, each perception and deduction with its taxable and exempt part, the ISR and subsidy detail and the IMSS contributions by branch.
- For a bonus, a discount or any other concept, use Add concept on the receipt.
- If you fix an incident or an employee's data, go back to the payroll and click Recalculate.
- In the list of receipts, Nori flags the ones with problems, such as Negative net or No employer registration.
4. Authorize
Click Authorize. The figures are frozen and the payroll shows who authorized it and when. As long as no receipt is stamped, Back to review opens it again.
5. Stamp
Click Stamp. Each receipt is sent to the PAC with the same certificate and PAC you invoice with, using the payroll CFDI series from the parameters. If a receipt fails, it keeps the PAC's message: fix the cause and click Stamp again; only the missing ones are sent.
6. Send, pay and close
- Send receipts emails each employee their PDF and XML.
- Bank dispersion downloads the file for your bank, with the columns and separator you set in the payroll parameters.
- Payroll CSV downloads the whole payroll, one row per employee.
- Mark paid closes the payroll. The loans it discounted lower their balance.
To cancel the CFDI of a stamped receipt, open it and click Cancel CFDI.
Christmas bonus, profit sharing and severance
In People › Payroll › Runs click New payroll and choose the Payroll type:
- Christmas bonus (aguinaldo): for every active employee, in proportion to the days worked in the year.
- Profit sharing (PTU): enter the Amount to share and the Year of the profits. Half is shared by days worked and half by salaries.
- Severance (finiquito): choose the employee. Nori calculates pending days, vacations with their premium and the proportional Christmas bonus; on a dismissal (liquidación), also the indemnity and the seniority premium.
Then follow the same steps: calculate, review, authorize and stamp.
Why: SAP Business One has no Mexican payroll; it is usually calculated in another system and the journal entry imported. In Nori the receipt is calculated and stamped where you invoice.
If you don't see…
- The Payroll menu: your company doesn't have the Mexico localization, or your role has no payroll permission (the Payroll role and the Administrator have it).
- Periods when starting: generate them first in Periods.
- The Stamp button: the payroll must be authorized.
- An employee in the payroll: check their pay frequency, that they are active and, if you filtered by employer registration, that they have it.
- A notice of parameters to verify: confirm in People › Payroll › Setup › Parameters the values marked Verify before stamping.
