How to make a sale: quote, order, delivery and invoice

Enter a quote, copy it to an order, a delivery and an invoice with "Copy to", collect when you save, and fix mistakes with returns, credit memos or cancellations.

A sale in Nori follows the SAP Business One chain: quote, order, delivery and invoice. You can start at any step; each new document takes the open lines of the previous one, and the previous one closes by itself when nothing is left.

The document chain

Document What it does Copies to
Quote A proposal to the customer. Reserves no stock Order, delivery or invoice
Sales order Reserves stock (committed) Delivery, invoice or down payment
Delivery Takes the goods out of the warehouse Invoice or return
Invoice Receivable; if there was no delivery, it also takes the goods out Credit memo
Return Brings back goods from a delivery Credit memo
Credit memo Lowers what the customer owes; from an invoice, it brings the goods back —
Debit memo Charges an extra amount without moving goods —

They are all in the Sales menu. Down payments have their own guide: Down payments.

Enter a document

  1. Go to Sales › Quotes (or the type you need) and click New.
  2. Choose the Business partner. Ctrl+S in that field creates a partner without leaving the document.
  3. Add lines in Add item: scan or type the code and press Enter. 3*code adds three units. Shift+A creates a new item.
  4. Check each line's price, discount and tax. Alt+E shows stock by warehouse, Alt+U the margin and Alt+P the last prices to this customer.
  5. Click Save (Ctrl+S). If it isn't ready, open the arrow next to Save and choose Save draft.

A draft moves no stock and no accounting. You can post several at once from the list (see The document list).

Copy to: move on to the next document

  1. Open the open document, for example the order.
  2. Click Copy to and choose the target: Delivery, Invoice or Down payment.
  3. Nori opens the new document with the open lines. Change quantities if you only deliver part.
  4. Save.

Whatever you didn't copy stays open on the order. When everything is delivered or invoiced, the order closes by itself.

Copy from: combine several documents

In a new document, with the partner chosen, click Copy from. The partner's open documents appear; pick one, check the lines and the quantity in To copy, and click Add selected. Repeat with another document of the same customer to combine several orders into one delivery.

Why: SAP B1's copy-from wizard does the same. In Nori you can't mix documents of different customers, and in Mexico an invoice carries a single payment form, payment method and CFDI use.

Collect when you save

On deliveries and invoices, if you can record payments, you get Save and collect: it saves the document and opens the payment with the payment forms. On a saved document that still owes money the button is Collect. If the customer's payment terms require payment, Nori won't save the invoice on credit.

Close, cancel and correct

More actions (the three-dot button) has:

  • Close lines: mark the lines you won't fill. They stop being open and stop reserving stock.
  • Close: the same for the whole document. It moves no stock and can't be undone.
  • Cancel document: asks for the reason, reverses the stock movements and gives the open quantity back to the documents it was copied from. If the invoice is stamped, the CFDI is cancelled with the SAT too (see Stamp and download CFDI 4.0 invoices).
  • Delete draft: drafts only.

You can't cancel a document that was already copied to another one. Cancel the later one first; Nori tells you which.

To correct an invoice the customer already has, the usual way is a credit memo: open the invoice, Copy to › Credit memo, keep the lines and quantities coming back and save. For a delivery that isn't invoiced yet, use Copy to › Return.

Why: as in SAP B1, a saved document that moved stock or accounting isn't edited. Only its header data changes; everything else is corrected with the opposite document. Quotes and orders can be edited while open.

See where it came from and where it went

Alt+R opens the Relationship map: the quote, the order, the deliveries, the invoice and its payments, as cards. Click one to open it.

If you don't see…

  • The Copy to button: the document must be saved and open. A draft, a closed or a cancelled document can't be copied.
  • Documents in Copy from: choose the partner first. Only that partner's open documents that can be copied to this type appear.
  • Save and collect: it shows on new deliveries and invoices, and only if your role can record incoming payments.
  • A series: ask your administrator to assign it in Administration › Company › Document series.
