How to register a fixed asset

Register your trucks, computers and furniture, capitalize them from the supplier invoice, by hand or with their opening balance, and check their book value.

On this page

A fixed asset is what you buy to use for years: a truck, a computer, the store's shelves. It is not expensed at once: it enters the books at its cost and depreciates month by month. You find it in Finance › Fixed assets (only with accounting on).

Asset classes

Every asset belongs to a class: Buildings, Machinery and equipment, Transportation equipment, Office furniture and equipment or Computer equipment. Nori brings them ready with their useful life, annual tax rate and chart accounts.

  • Check them in Fixed assets › Setup › Asset classes. The Accounts tab of each class shows where its cost, accumulated depreciation, depreciation expense and the gain or loss on its sale go.
  • A class without its own account uses the one in G/L account determination › Fixed assets. See How to set up G/L account determination.

If you bought it with an invoice

The most direct way: enter the supplier invoice as usual and mark the line.

  1. On the supplier invoice, add the line with an item that does not keep stock (for example, "Equipment for fixed assets").
  2. In the Fixed asset column, pick the class under New asset of the class, or an asset you already registered under Registered asset.
  3. Save and post. The line goes to the asset account instead of the expense, and Nori creates (or capitalizes) the asset with the amount before VAT, the supplier and the invoice.

Why: the input VAT and the supplier's account stay in the invoice's own entry, and the asset is born linked to its receipt.

If you paid it some other way

  1. Go to Fixed assets › Assets and click New asset.
  2. Type the name, pick the class and, if you want, the serial number, branch, cost center, person in charge and location. Save.
  3. On the asset, in Capitalize, leave With its cost, enter the date, the cost and the offset account (the bank you paid from, for example). Click Capitalize.

If you had it before using Nori

  1. Register the asset as in the previous step.
  2. In Capitalize, pick An asset you already had (opening balance).
  3. Enter the start date, its cost, the prior accumulated depreciation, the acquisition date and the month it started depreciating. Nori goes on with the months of life it has left.
  4. Keep Post the opening balance entry checked so it posts against opening balances. If your opening balance entry already holds the asset, uncheck it: only its values are recorded.

Checking an asset

The asset shows its cost, accumulated depreciation, book value and monthly depreciation. Below, the History with every movement and its entry, and the Depreciation schedule month by month.

The reports are in Fixed assets › Reports:

  • Asset register: each asset's book value at a date. At the top it tells you whether it matches your books.
  • Asset movements: additions, depreciation and disposals of a period.
  • Tax depreciation (Mexico): the year's deduction at the income tax law rate. Figures are nominal: the update by the consumer price index is still to be applied.

If you don't see…

  • The Fixed assets menu: accounting is off, or your role does not have Fixed assets. The Finance role has it.
  • The Fixed asset column on the invoice: it only shows on supplier invoices, with accounting on and if your role can create assets.
