Users, roles and permissions

Give your team access with the default roles or create your own, limit branches and warehouses, and hide fields by role or user.

Updated on October 24, 2026

In Nori, what each person can do depends on their roles. A user can have several roles and gets the combined permissions of all of them.

Built-in roles

  • Administrator: can do everything the user's license covers, including anything added in future versions. Its permissions can't be edited.
  • Supervisor: approves authorizations, sees costs and margins, and manages other users' registers.
  • Cashier: sells at the point of sale and runs their own register.
  • Sales rep: creates quotes, takes orders and sells on the route.
  • Warehouse clerk: picks, receives, transfers and counts inventory.

You can adjust these roles to fit how you work. If you make a mistake, Restore defaults puts them back to the original settings. You can also rename them. A name you set shows the same in English and Spanish; until you rename a role, each user sees it in their interface language.

Add a user

  1. Go to Administration › Users and click New.
  2. Enter the username, name and an initial password.
  3. Choose their roles and their license (see Licenses and roles).
  4. Save. Each active user uses one license of their type. The top of the list shows how many licenses you're using out of how many you own.

When someone leaves the company, deactivate their user. Their history is kept and the license frees up for someone else.

Create or change a role

  1. Go to Administration › Roles and permissions.
  2. For a quick start, open a similar role and click Duplicate. You can also start from scratch with New role.
  3. The Permissions tab has a grid of modules and actions (view, create, edit, delete, plus special permissions like authorize or see costs). Search for a permission by name, or check Whole module or Whole row to grant them all at once.
  4. Click Save permissions. Until you save, the screen shows how many unsaved changes you have.

In the role's Users tab you can see who has the role, add or remove people, and open each person's scope.

Scope: where each user works

In Scope you set the branch, Default warehouse and Allowed warehouses. With no warehouses checked, the user can work in all of them. If someone works in different warehouses on different days, check Chooses the warehouse at sign-in.

Salesperson on documents

Commissions and sales by salesperson come from the salesperson on each document. In Settings › Sales, Sales rep on new documents decides which one is filled in:

  • The customer's: the salesperson assigned to the customer; if there's none, the user's. This is what Nori does unless you change it.
  • The user's: the salesperson linked to the user entering the document; if there's none, the customer's.
  • The point of sale terminal's: the salesperson of the terminal where the user has their register open (set it in POS terminals); if there's none, the customer's.

You can always change it by hand on the document. When you copy a document to another one (order to delivery, delivery to invoice, an order charged in the POS) the salesperson goes with it.

With Data by sales rep turned on in the same screen, users who have a linked salesperson and don't approve operations only see their salesperson's sales documents: in the lists, when opening one, in the app and in the POS search.

Hide or lock fields

Sometimes a permission isn't enough. Say you want sales reps to enter orders without changing the price. That's what Form settings are for (Administration › Form settings): for each screen, role or user, you can make any field hidden, read-only or required.

Nori enforces these rules on the server when saving, not only on screen. If a sales rep can't change something on the web, they can't change it from the mobile app or the API either.

Authorizations

Some actions need approval instead of being blocked outright: selling below the minimum price, going over a credit limit, or canceling a document. You set up each concept separately, including who approves it and how. See the guide on authorizations and the supervisor PIN.
